Documents and records to organise
- Lease or rental agreement draft, including names, property address, rent amount, move-in date and contact details.
- Move-in condition form or checklist to record the condition of the rental at handover.
- Photos or videos of rooms, appliances, fixtures, locks, windows, flooring, walls, outdoor areas and existing damage.
- Utility, appliance, HVAC or maintenance records that may help explain how the property should be used or maintained.
- Keys, fobs, access codes, parking information, mailbox access and emergency contact instructions.
- House rules, community rules, trash/recycling information, pet rules, smoking rules and maintenance reporting instructions where relevant.
- Deposit, fees, rent payment and move-in payment records, checked against the rules for the property location.
Practical property checks before move-in
- Walk through every room and note visible repair, cleanliness or condition issues.
- Check doors, locks, windows, lighting, flooring, stairs, handrails and obvious trip hazards.
- Test supplied appliances where possible and record anything that is not working as expected.
- Review heating, cooling, ventilation and utility handover steps.
- Look for signs of leaks, dampness, plumbing problems, drainage issues or water damage.
- Check smoke alarms and carbon monoxide alarms where relevant, then confirm local requirements.
- Agree how maintenance issues should be reported after move-in.
